Admin Assistant
Role Description
This is a full-time on-site role for an Administrative Assistant at the School of Calligraphy & Ornamentation in Fujairah. The Administrative Assistant will be responsible for providing general administrative support, including managing correspondence, maintaining records and reports, scheduling appointments, and handling phone calls. Additionally, the Administrative Assistant will assist with various clerical tasks and provide executive administrative assistance as needed
Working Hours
Sunday- Thursday
10am to 6pm in-person in Fujairah
Salary and Benefits
- up to 10k AED per month
Role Responsibilities
- Manage the manager’s calendar, including scheduling meetings, appointments, and travel arrangements
- Coordinate and prioritise the manager’s daily activities to ensure deadlines are met and objectives are achieved
- Prepare and edit correspondence, communications, presentations, and business opportunity case analysis documents on behalf of the executive
- Conduct research and compile data to support the manager’s decision-making processes
- Prepare meeting agendas, take minutes, and follow up on action items as needed
- Coordinate logistics for internal and external meetings, including room bookings, catering, and audiovisual setup
- Screen and prioritise incoming calls, emails, and correspondence for the manager
- Anticipate the manager’s needs and proactively address issues to enhance productivity and effectiveness
- Maintain confidentiality and handle sensitive information with discretion and professionalism
- Collaborate with other members of the team and support staff to facilitate seamless communication and coordination
- Be able to complete tasks with minimal supervision and be self motivated to achieve higher standers
- Assist with special projects and initiatives as assigned by the manager
- Follow up diligently with team members and external people
- Write documents in Arabic and English
- Translate from Arabic to English and the opposite
- Filling forms for upcoming events and exhibitions
- Ability to use Apple products (including Mac laptop, desktop and iPad)
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to use WordPress and other blogging platforms
- Ability to use Illustrator, Photoshop, InDesign
- Ability to learn any required software independently and in a timely manner
- Ensure office equipment and supplies are maintained and stocked
Qualifications
- Must be fluent in English and Arabic
- Bachelor’s degree in arts, design, media or communication
- Three plus years of proven work experience as an Administrative Assistant
- Experience in managing multiple priorities, administrative coordination, and logistics
- Strong phone etiquette and communication skills
- Clerical skills and attention to detail
Desirable
- Master’s degree
- Valid UAE Drivers License and vehicle
